Data deletion instructions
How to ask Epsila Ltd to delete the information we hold about you, and how to remove our access to an account you connected.
Ask us to delete your information
Email admin@epsila.co.uk with the subject "Data deletion request". Tell us:
- your name, and the email address, handle or channel we know you by;
- if you are a talent manager asking for a creator you represent, which creator;
- what you want deleted, or that you want everything deleted.
We may ask you to confirm who you are before we act.
When we do it
We delete your information within 30 days of your request, and information we read from YouTube within 7 days. If there is something we cannot delete, we tell you what it is and why.
What we delete
- Your creator or contact record and everything on it, such as your contact details, channels and figures, rates, our notes and our assessment.
- Your sign-ups and the files you sent with them.
- Your portal account, its sign-in details and any browser you chose to trust.
- Our access to any account you connected, and what we read from it.
- Our copies of emails, messages and meeting notes about you, unless they record a contract or payment we must keep.
- Chats in our team's Claude and ChatGPT accounts that mention you: each of us searches our own chats for you and deletes them.
- The drafts and links you sent us for campaigns.
- Your answers to our questionnaires, and the name you gave with them.
- Photos and video of you that we took at events, and our posts that show you.
What we keep
- Contracts, invoices and payment records, which the law says we must keep for at least six years from the end of the financial year they relate to.
- Our permanent record of actions, such as who signed a contract, approved a payment or signed in.
- Copies in our backups and other copies of our database, for up to 12 months.
- Earlier versions in the history of our internal documents, which we keep on our server and our founders' computers, with an off-site copy kept for 12 months. These include pages about creators, contacts and meetings, pages made from emails, and photos and video from our events.
- Working files and other copies of our records, emails and messages, which we delete 12 months after they are made.
- Copies of records we saved before changing many records at once, which we delete after 90 days.
- Records of our AI tools' working sessions on our servers, including the history Codex keeps of them, which we delete after 30 days.
Accounts you connected
Deleting your information from Epsila does not delete anything held by YouTube, TikTok, Instagram or Google.
To remove our access to an account you connected, you can also use the platform's own settings:
- Google or YouTube: security.google.com/settings/security/permissions, then remove Epsila.
- TikTok: in the TikTok app's settings, among the apps you have given access to your account.
- Instagram: in your Instagram or Facebook settings, among the apps and websites you have connected.
Removing our access stops us reading anything new. To delete what we already read, email us as above.
See what we hold first
Before you ask us to delete anything, you can ask for a copy of what we hold about you, at the same address. We reply within one month.
